Are You Travelling For Work During the Paris Olympics This Summer? 

The Olympic Games are heading to Paris in July. Over 10,000 athletes will be throwing, swimming, running, cycling, and more for the chance to grab a gold medal and write themselves into the annals of Olympic history. For the Olympic surfers, this dream begins on the waves of Tahiti in French Polynesia – a break from tradition which sees an event held in a location beyond the host country’s borders.

It’s an exciting time to be a sports fan. And it’s an even more thrilling time to be a traveller – the Olympic Games is a beacon which attracts people from all across the globe, uniting disparate languages and beliefs into a single culture defined by healthy competition and the human affinity for fun.

But with an estimated 15 million visitors planning to head to the event according to the Paris je t’aime tourist office, travelling to and within Europe for work will almost certainly be affected. In this article, we take a look at how the Paris Olympics 2024 might impact business travel and offer our expert tips and advice to help you keep your trip on course.

Paris Olympics 2024 By Numbers

 

  • 15 Olympic venues
  • 11 Paralympic venues
  • 3.8 mile boat parade to open the event
  • 40,000 police officers to be stationed
  • 10,500 athletes
  • 329 events
  • 15 million tourists expected

1. Expect busier streets and more people using public transport systems

 

There are some reports which suggest 2024 will set new records for the number of visitors heading to Europe, with the Paris Olympics a major catalyst for travel to the continent. Record-breaking or not, one thing is guaranteed: the French capital will have to host an influx of visitors this summer and transport infrastructure will be stretched to its limits.

If you’re travelling for work in France during the event expect delays on the metro, buses, and trains, in Paris and its surrounding towns and cities, especially during peak hours and around competition venues. But it’s not only French streets that will be feeling the strain. Neighbouring countries like Spain and Germany could also see a rise in travellers and tourists as Olympic visitors extend their trips to other parts of Europe.

What can you do about it?

Consider flying into a less congested European city before travelling to Paris by train, making sure that you have all of the relevant identification and paperwork. Here are a few recommended destinations:

  • London: Eurostar train (2 hours)
  • Brussels: Thalys train (1 hour 50 mins)
  • Geneva: TGV Lyria high-speed train (3 hours)
  • Frankfurt: TGV INOUI high-speed train (3 hours 40mins)

2. Prepare for accommodation to be busier and more expensive

 

With millions of people expected to stay in Paris, the cost of accommodation will rise as providers leverage the popularity of the Olympics to increase profits. Available rooms in Paris are hot property – many hotel rooms and rental homes have already been snapped up by fans looking to make the most of their time at the Games.

According to analysis from The Independent and Lighthouse data, hotel occupancy in Paris is set to be between 60 and 70 per cent throughout the competition, with overall hotel rates roughly 95 per cent higher than usual. Neighbouring countries will also have half an eye on profits they can make from the event, so prepare to spend more at hotels across Europe. 

What can you do about it?

Avoid staying on Sunday, 04 August. According to reports, that’s set to be the most expensive date to book a hotel during the event – The Independent reported that a five-star hotel room is averaging €1,566 (£1,349) per night.

3. Keep an eye on the French Parliamentary elections and what might change

 

France’s parliamentary elections take place on 30 June, with “run-off” elections lasting until 07 July. Not only could this herald the beginning of an entirely new government, it might also cause unrest and uncertainty which could have a detrimental impact on travel.

Besides a potential change in governmental policy surrounding the travel industry (any of which is unlikely to be enacted in the short time between the election and the start of the Games), a big political change could cause disruption in the capital, whether that be because of an increase in media attention or politically-motivated tensions.

What can you do about it?

 

Though Paris Mayor Anne Hidalgo says she has “difficulty understanding” President Macron’s decision to call an election so close to the Olympics, the president of the International Olympic Committee (IOC) Thomas Bach has assured fans that elections “will not disturb the Olympics”.

It would be wise to keep an eye on any political developments if you’re planning to travel to Paris on a work trip. That way you can prepare for any eventuality (or perhaps use the elections as an ice-breaker topic at your next business meeting!)

celebrating the women who make Gray Dawes

For International Women’s Day 2024, we look towards a future where everyone feels valued and celebrated equally.

Women are integral to the success of Gray Dawes. You only need to look as far as our CEO, Suzanne Horner, as proof of that fact. Her place at the helm of our organisation is only part of her invaluable contribution to the business travel world; she holds the accolade as the first female chair of the Business Travel Association (BTA) and was this year named on BTN’s 25 Most Influential List.

But Suzanne is not the only inspiring woman at Gray Dawes. We asked some of our amazing female staff what International Women’s Day means to them and what it is like as a woman in business travel. Here’s what they had to say…

“For me, International Women’s Day is a great time to stop and celebrate all of the amazing things that women across the world do.  I’m a massive fan of using other women’s successes as my motivation and I would encourage everyone to do the same. It’s a great time to look at what people are doing, give them flowers and be super excited for them!

It’s great to be surrounded by so many inspirational, sparky, kind, women, and that’s something else I like to focus on for International Women’s Day. I think if we were all just a little bit kinder to each other it would make such a big difference in life. So when you see somebody who has an amazing outfit on, tell her! Give someone a compliment even if you don’t know them – that can lift someone’s day.”

A Journey to Dallas

On 13 August, a transatlantic Gray Dawes team travelled to Dallas, Texas to talk about our ‘think global, act local’ strategy at the GBTA Convention 2023. The event, which was held at the Kay Bailey Hutchison Convention Center, was marking its 54th year as the place to be for business travel professionals; a community of industry leaders and expert speakers delving into topics with the power to shape the future of business travel.

It didn’t disappoint. The convention buzzed with bright ideas, endless networking possibilities, and plenty of opportunities to learn more about navigating the complex business travel landscape.

Our convention team – CEO Suzanne Horner and CCO Warren Dix alongside US-based Carolann Martini (Chief Customer Officer), Olga Ramudo (Senior Vice President for Florida & Latin America), and Michel Botbol (President of Gray Dawes North America) – spent three days exploring the GBTA Convention, speaking to suppliers, professionals, and experts about our new ‘follow the sun’ global strategy.

We caught up with Carolann Martini to tell us more about the experience, including stories from our special GBTA breakfast event and Suzanne’s incredible appearance on the “Can Women Really Have It All?” panel hosted by GBTA WINit.

Arrival Day

“I’ve been to the GBTA Convention fifteen times before, so I knew exactly what to expect!

“I arrived in Dallas early and met Warren, Suzanne, and Michel. We reviewed our strategy and approach for the next three days, who we would be meeting, what we wanted to learn, and how we wanted to express ourselves. The main objective was to talk about Gray Dawes’ expansion into the global market, particularly our new locations in the US.

“So, we spent some time exploring the floor, meeting industry experts and suppliers to find out what new and exciting initiatives were peeking over the horizon. It was a great opportunity to speak to people and get our word out there.”

GBTA Exclusive Breakfast

“The convention truly started for us at our exclusive GBTA breakfast on day two.

“We wanted to do something special to celebrate our recent expansion into the US market. So, we invited some of our contacts to an exclusive private breakfast event at the Mercat French Bistro for a morning of conversation and networking.

“The food was great, but the meeting was better! We had a room of 40 people interested to find out more about Gray Dawes and the wide range of services we offer. Suzanne spoke eloquently about our ‘always on’ philosophy, our US team, and her plans for the global future of the company. It garnered a lot of interest and sparked plenty of questions.”

Can Women Have it All?

“On the final day, Suzanne appeared on an educational GBTA WINiT panel hosted by Caroline Strachan called: ‘Can Women Really Have It All? An Honest Discussion Among Leaders’.

“She joined other industry figureheads on stage to discuss the question, providing insights into the importance of a work-life balance, the pressures of the biological clock, and the impact of gender on career progression.

“Suzanne was brilliant – the way she spoke demonstrating how passionate she is about the subject. Not only did she define her idea of success from the perspective a female leader, she talked about her unique business travel journey and the balance one must make between choice and compromise.

“It was an insightful discussion of mixed opinions – a mark of a great panel. When discussing the question of whether women really can have it all, there was one yes, one no, and one it depends. This was then followed by an audience Q&A which opened even more avenues of discussion.”

Talking Travel at our Innovation Hub

Our clients are at the centre of everything we do. They are the beating heart to our business travel brains – a guiding force that helps to shape our services and mould our future. So, we hatched an idea.

On the 31 January 2023, we invited a few of our customers to the Marylebone Hotel in London for our first ever Client Innovation Hub Event. The goal was simple; we wanted to hear what our clients thought about our technology first-hand and find out what we needed to do better. This emphasis on client-driven strategy is fundamental to Gray Dawes, helping us craft our client-focussed roadmap that truly meets the needs of today’s business traveller.

One of the organisers of the event was Matt Lambert, Head of Product at Gray Dawes. We caught up with him to find out how the day unfolded and what valuable lessons were learned.

Hi Matt. It’s great to speak to you. Could you tell us a little bit more about the Client Innovation Hub Event?

Of course. We invited a range of our customers to the beautiful Marylebone Hotel to talk tech. What did they think of our existing technology? What did they want to see more of? What do they want technology to be able to do for them and their travel programmes?

It was all about finding out what innovation Gray Dawes could bring to the TMC market. Getting fantastic client insights to really drive our technology roadmap!

I was joined by a number of my colleagues across the IT and Account Management teams. Plus we had members of our Senior and Executive Leadership Teams there, too. 

“On behalf of myself and Fiona, I just wanted to say thank you for including us in Gray Dawes’ Innovation Hub meeting. It’s great to see Gray Dawes so engaged with their technology and willing to collaborate to continuously improve, with a client focus. I thought the group were really engaged and enjoyed being part of it! I know we’re still in the early stages of our move to Gray Dawes, but with every engagement I am more and more impressed with the level of service, attention and skills Gray Dawes have. I look forward to continuing the collaboration.”

So, what was the initial idea behind the event?

We really wanted to get people together and talking openly. What was brilliant was that we had attendees from across the spectrum of our client base – from new customers to experienced industry heads – and a really varied collection of voices. That was exactly what we wanted.

As a company, we do communicate extensively with our clients, sharing news of what we’re doing and where we’re heading. And our Account Managers are great at talking to clients face to face on a one-to-one basis. But, as an IT team, we really wanted to engage personally with a passionate group, all together in the same room, to spark debate. Obviously, it’s been almost a year since we’ve been able to bring people face to face, so we were delighted to be able to do this in January.

And how did the event go?

The hub was a great experience. We knew there’d be fantastic input from our clients, but their commitment surpassed even our highest expectations. Everyone was extremely engaged, asking questions and firing ideas off of each other. It was brilliant to see how comfortable people were around the table.

We began by showing our audience some of our own tech innovations, to get the conversations rolling. They absolutely loved the refreshed look and feel of YourTrip[our online booking tool] ; there was a genuine excitement in the room when we unveiled the proposed design with its modern energy and slick, easy-to-use elements.

In fact, the group expressed a lot of positivity towards all of our core technology. They seemed impressed by how we package and deliver our products and, crucially, also by the nuts and bolts that make everything tick behind the scenes.

Then we opened up the floor and encouraged our clients to share with us the interesting tech they had seen, from AI inventions to imaginative online booking tools. Their feedback was eye-opening, and we left the event with our collective heads buzzing with new ideas. Without their input, I might have ended up getting carried away and investing in a load of technology that I thought looked cool but nobody else was interested in!

There were a lot of conversations surrounding slick mobile solutions and apps – the ability to access travel information at the touch of a button was something that everyone agreed was important in the modern world.

It can be quite easy to think of mobile functionality as a bit of a tick box exercise. Some companies add mobile tech to what they offer just so that they can keep pace with their competitors without really taking the time to work on it and make it special – the importance of a native mobile user interface is crucial. With so many mobile apps in the travel space, it was a little bit of a surprise to hear it mentioned as one of the biggest demands in the room. But I think it was a demand for well though-out apps that actually add value to a journey, giving travellers access to invoices or important documents on the go, for example.

Sustainability initiatives were another big topic of conversation. The group were super enthusiastic about the future of green technology and the endless opportunities it might create for the industry. The importance of being able to tailor clients’ travel choices on CO2 and environmentally friendly options was discussed at length.

Lufthansa have a new initiative called green fares that take this on board. Passengers can pay an extra £70, for example, on top of the usual ticket price and the extra fee goes towards planting trees or other green projects. This, along with our own Legacy programme, is just one of many sustainable travel initiatives out there. And, of course, we took the opportunity to dip into how we can report on a traveller’s carbon footprint within YourData!

I can’t say too much about it right now, but we were super excited to give our audience a sneaky peak at our latest in-house innovation – the Gray Dawes PORTAL.

We’re confident that PORTAL is going to be a game changer for business travel management on both a national and global level. And the reaction it received in the room was fantastic!

We’re still in development and beta testing right now, but you’ll certainly be hearing a lot more about PORTAL very soon!

But what we must bear in mind is that a lot of people might say they want to travel green, but when they are presented with the option o, for example, travelling 7 hours by train to get to Edinburgh from London or hopping on a plane for an hour journey, are they always going to make the greener choice? We need to consider that too.

What for you were the biggest takeaways from the event?

First and foremost, just how great it was to meet just some of our clients together in one place and face-to-face. They were really engaged and super knowledgeable – they had clearly booked lots of travel in the past and knew exactly what they were talking about.

It was such a great opportunity to have frank and honest conversations about our technology and we were able to showcase some of our new ideas first-hand.

The event also made me realise that we need to do it more often! Of course, our Account Management Team are always with our clients, but for us IT geeks, we rarely get out! The dream is to run the event for 50 or more people on a kind of “client board” that regularly meet to give us feedback. That way they can see how much X, Y and Z has changed since the last meeting, off the back of client recommendations. And, of course, given our development strategy, it’s our clients – and their ‘real life’ experiences – who drive this.

It would be fantastic to get to the stage where clients are fighting to get a space in the meetings!

Here at Gray Dawes, our ESG (Environmental and Social Governance) strategy is driven by our newly appointed Global Brand Ambassador, Laura Busby.

To celebrate the day she is leading our monthly Diversity, Inclusion and Belonging internal focus group meeting.

The purpose of this group is to continually drive a culture of belonging across the business, underpinned by a key value that each employee “feels comfortable in being themselves, all of the time”.

This group also focuses on how we can encourage a more diverse workforce into the travel sector.

A recent McKinsey report revealed that those companies that focus the most on racial and ethnic diversity are 36% more likely to have financial returns that are above average for their industry.

As life begins to get back to a new kind of normal, we have to accept that Covid-19 has changed things… and that includes how you manage meetings, incentive trips and conferences for your business.

We asked our colleagues over in Gray Dawes Events for their TOP 5 TIPS on planning a corporate event in a post-pandemic world.

#1.  Hygiene

Number 1 is, of course, ensuring you maintain excellent hygiene standards for all in-person events. Despite the easing of lockdown restrictions, you must appreciate that your delegates may still be anxious about Covid and its lingering effect. Therefore, it’s essential that you:

  • ensure there are sanitizers at entry points
  • depending on your location, provide face masks at all your events, don’t rely on delegates bringing their own
  • your venue must be cleaned at regular intervals
  • and be careful of shared items, such as microphones – sanitise them between use

#2.  Food & Beverage

How to handle Food & Beverages is at number 2. Be sure that on-site staff at your event venue are trained with the appropriate food handling protocols.

And why not try serving boxed meals or insisting on a plated service?

#3.  Technology

Top tip number 3 is make the most of Technology at your events.

You can minimise physical contact between delegates with the use of such techniques as scanning QR codes for check-in and using mobile apps with all the event details and useful information on them.

At number four, why not consider the benefits of Hybrid events. Some attendees may prefer a digital experience to being in a room full of people.

Be sure to check out different platforms which can cater for your virtual audience. Find a venue with suitable technology to make this an engaging and interactive experience for both your virtual and in-person audience.

Strategic Meetings Management (or SMM) is the event planner’s smart way to co-ordinate meetings at key/preferred venues on a regular basis, often guaranteeing discounted rates, added extras, and having priority to meeting spaces over other companies who may not be quite as organised as you!

Before considering the benefits to having a Strategic Meetings Management programme in place, ask yourself the following:

  • Do you spend time researching venues, asking the same questions to the venues, and always end up at the same 2 or 3 venues?
  • Have you always paid the same rates or do the rates vary?
  • Have you negotiated added values or extras?
  • Do you always get your favourite meeting space?
  • Do you worry the venue has got the detail right?

Using SMM can help with the all of the above saving you time and money!

Where do I start?

First of all look at your previous meeting bookings for the last 12 months:

  • How much did you spend
  • How many people attended
  • Where was the meeting held
  • Reason for the meeting (ie Quarterly Executive Meeting)
  • Any added values/benefits

Is there a pattern?  Do costs escalate at certain times of the year?  Are Junior Teams being charged more than your Executive Teams for the same service?  Have you always been offered the same benefits (ie free flipcharts) or is this on an ad hoc basis?
