An Expert's Guide to Ancillaries

learn all about ancillaries from Account Manager Matthew Bond

So You’ve Booked Your Flight, Hotel, or Rail Ticket…

Your long-planned business trip awaits and the promise of an unforgettable experience sits bright on the horizon. You’re good to go. Or are you?

Arriving at your destination is just one step of the journey. Are you going to need a car to get around? Do you need to organise parking? Have transfers been booked from the airport?

All of these “added extras” that complement a trip are referred to as ancillaries. In this article, we talk to one of our Account Managers, Matthew Bond, who discusses the benefits of booking ancillaries as part of a complete, door-to-door trip and how Gray Dawes makes the whole process as simple as possible.

WHAT ARE ANCILLARIES?

The seal of Chicago

Ancillaries refer to all of the extra elements of the trip that complement a flight or rail journey. They include:

  • Car hire
  • Car parking
  • Airport transfers
  • Airline seating
  • Additional luggage allowances

Travellers might feel the need to organise all of these elements separately. However, through Gray Dawes you can book everything as one package either via our YourTrip online booking tool or by talking to our dedicated team of travel experts.

Matthew Bond, Enterprise Account Manager at Gray Dawes Travel

“From a glance, you may think that booking travel is only about ensuring you have booked your flight, hotel or rail ticket.

“However, have you considered all the other great and useful ancillary travel items available when using the Gray Dawes Yourtrip Booking Tool or via our offline dedicated teams?

“Of course, your trip may only consist of one or two of the essential travel options such as car parking or airport transfers, but to support your travel journey further and to save you additional searching and external effort you may want to consider booking some of the additional ancillary items available to you at the time of booking.”

“Through our unique and comprehensive booking tool YourTrip, you can book a complete trip from “door to door” making your travel experience fully encompassing and negating the need to book separate items independently. Equally in doing so, you can benefit from Gray Dawes managing the payment of these ancillary items for you and including them within your agreed invoicing process.”

5 Ways AI Will Revolutionise Business Travel

How next-gen technology will improve the traveller experience

The Power of AI for the Business Travel Industry is Yet to be Fully Realised…

In today’s fast-paced world, where efficiency and productivity are more important than ever, AI is emerging as a game-changer in the realm of corporate travel. From streamlining bookings to enhancing traveller experiences, the potential for AI to transform the way we navigate the business travel landscape is immense. In this article, we take a look at 5 ways AI may – and already is – revolutionise the industry, offering a brief look into a future where truly intelligent technology has unlocked new doors hitherto unnoticed.

#1

Augmented Reality (AR) Aircraft Repair

The recent launch of Apple’s Apple Vision Pro glasses demonstrated the powerful potential of wearable augmented reality (AR) tech. Via heads-up displays and AI-powered queries, users of AR can seamlessly occupy the real and digital realms to reap the benefits of both. Though the technology is still in its infancy, its future as an aircraft maintenance tool is clear for all to see: a fully responsive piece of wearable kit that will help engineers diagnose problems and conduct repairs.

The potential integration of AI object recognition software could take things one step further. Engineers could pinpoint issues in real-time through their AR glasses and be informed of the exact part or tool needed to make a repair. This speeds up the maintenance process, meaning airlines can turn around planes much faster, thus improving flight schedule targets and reducing passenger delays. It also means fewer plane ‘going technical’ on the runway.

The possibilities are endless!

#2

AI-Powered Biometrics and Identification

Imagine no longer having to remember to bring passports or ID cards to the airport. With the continued development of AI recognition and biometrics technology, this near-sci-fi notion could become a very real reality. A face might be all a traveller needs to check in at an airport or board a plane. Paperwork would quickly become a thing of the past.

This seamless check-in experience would be bolstered by AI-powered security systems with the power to scan luggage and carry-on bags with a near-perfect degree of accuracy, meaning less need for passengers to sort their belongings before heading through customs.

The introduction of this technology might be sooner than you think. An AI security system was tested last year and could be potentially rolled out in 2024.

#3

AI Hotel Check-In and Concierge

When one thinks of AI, it’s hard not to conjure up images of semi-sentient robots. The two ideas seemed intertwined, a semiotic relationship instilled in our cultural consciousness by hundreds of books and movies, even if the idea of a human-thinking machine might seem faintly ridiculous. But as AI continues to develop apace, so too does the possibility of robots with the power to manage the day-to-day workings of hotels.

AI-powered concierges could soon be deployed in hotels to check in guests and deliver room service orders, all while learning an individual’s habits and preferences to ensure their stay is as comfortable as possible. These robot assistants will also be able to give up-to-the-second travel information and answer queries on the fly.

#4

Hyper-Personalised Travel Itineraries

AI-powered travel booking tools will one day be able to know its users with the intimacy of friends. While current technology allows travel booking systems to identify broad trends and preferences among its users, i.e. whether an individual usually travels for leisure or prefers to sit in First Class, AI could provide even more profound insights.

What if your booking tool knew that you were a professional welder and qualified scuba diver who likes to fly at night?  Itineraries could be personalised with the tiniest details. Travellers would be guaranteed a smooth trip from beginning to end, sprinkled with extras.

#5

Smart Trips Optimised by AI Learning

What if AI could allow train, car, and flight service providers to unravel the tangle of a traveller’s journey and keep them moving along one, seamless thread. Every stage of a trip could be managed by a single AI assistant, whether through an integrated app or via a chatbot.

A traveler could book a train ticket on an app, the AI assistant will determine whether a rideshare might be necessary upon arrival, and then – depending on traffic conditions, the train’s expected arrival, and individual preferences – will select a car that is most likely to be there on time.

People will no longer need to research routes or transport delays manually; everything will be delivered to their pockets (or AR glasses) in real-time.

In Summary

Business travel is on a course to become intertwined with the transformative power of AI. The possibilities are endless, from the seamless integration of AI-powered biometrics for efficient identification processes to the utilisation of augmented reality for aircraft repairs.

AI-driven hotel check-ins and concierge services also have the potential to elevate the traveller experience, while hyper-personalised itineraries hint at a future where individuals are treated as individuals. Though it is still too early to predict exactly how AI will evolve, the possibilities inherent in the technology, and its impact on the business travel industry, is very clear. Now it’s time to wait and see, though we suspect we won’t be waiting too long!

Talking Global at the innovation Hub

all of the highlights from our latest client event

Innovation Hub Goes Global

Our hugely successful Innovation Hub – the round table debate events which fuel our client-led service strategy – returned this month; our first since we launched our ALWAYS ON ‘follow the sun’ global model at The Business Travel Show. This gave us the perfect opportunity to discuss with our client representatives the future of business travel on a truly international scale.

On Wednesday 19 July, we invited a select few of our clients to the luxurious Leonardo Hotel at St Pauls in London. There we spoke about our global-focused strategy and gave an exclusive deep dive into our new YourTrip, TripSure, and brand new PORTAL interface, before opening up the floor to the room.

This emphasis on client-driven strategy is fundamental to Gray Dawes, helping us craft our client-focussed roadmap that truly meets the needs of today’s business traveller. And this day did not disappoint!

Our clients are at the centre of everything we do. They are the beating heart to our business travel brains – a guiding force that helps to shape our services and mould our future. So, we’re always keen to have their input. At Innovation Hub we get to hear what our clients think about our technology first-hand: What does our technology do well? What are we missing? How does our ‘follow the sun’ strategy measure up? And most importantly: What can we do to improve?

What We Learned

The biggest challenge impacting the immediate future of business travellers is COST.

All of our guests spoke about the growing importance of adopting cost-saving measures into their travel programmes. The paradigm has shifted; as the cost of travel rises, companies are less likely to increase their travel budget to meet demand in favour of spending the time to seek out savings. Our customers agreed that while presenting a business case to secure additional business travel funding still has its place, they would first consider asking our travel consultants to be creative with their travel itineraries and solutions in order to find cheaper prices.

We discussed how to control travel costs in episode 3 of our Travel Talks webinar series, which you can still watch on-demand.

The most important part of any travel programme is SERVICE.

We asked our clients to rate the importance of different elements within a travel programme. The response was heavily in favour of great service above all else; something that’s always guaranteed with Gray Dawes! Businesses were more likely to invest in a travel programme if the level of service exceeded their expectations, whether that be a result of quick response times or the friendly professionalism of their dedicated travel team.

This sparked discussions about our new ‘follow the sun’ service model and our new global team. We spoke about how we have ditched the traditional out of hours archetype to make way for an ‘always on’ approach – when our UK team goes to sleep, any enquiries are picked up by our American outfit, then they hand over to our people in Australia, forming a perfect circle of service continuity.

Coming Soon…

Gray Dawes Portal
Gray Dawes PORTAL logo

Our suite of travel technology was also a hot topic of discussion at the Innovation Hub. Much of the talk revolved around our upcoming in-house innovation: PORTAL, a bespoke environment built with the travel manager at heart – a fully secure doorway into our entire suite of travel tools and technologies unlocked with a single sign-on (SSO).

Our customers were treated to a sneak peek of the platform and we couldn’t have wished for a better response. They praised its clean, easy-to-use interface and loved how one login was enough to manage an entire business travel operation. There was a particular buzz about the client-tailored functions of PORTAL, not least its ability to display personalised information for each and every user, with defined access permissions for travel managers, bookers, arrangers and travellers.

New Distribution Capability (NDC)

a definitive guide

What is NDC and how can you take advantage of it?

In the midst of an ever-shifting digital landscape, it is crucial for industries to stay switched on to new trends. Refusing to change in step with technological advancements and the evolving consumer expectations that come with it, you risk alienating your customers and ceding ground to more forward-thinking competitors. This is especially true for those in the travel industry.

One of the biggest shakeups in the travel tech scene was introduced in October 2012. The New Distribution Capability (NDC) was developed by the International Air Transport Association (IATA) to revolutionise the way in which air travel content was distributed and purchased. No longer did travellers and travel agents have to trawl through innumerable sources to find the air products they were looking for – NDC allowed deals to be presented on indirect channels with unprecedented ease.

In this blog post, we will explore the advantages of adopting NDC and how you can use it to stay ahead of the travel tech curve.

Enhanced Traveller Experience

NDC puts the traveller at the centre of the distribution process. By providing access to a wider range of content, including ancillary services, seat selection, and personalized offers, NDC empowers travellers to tailor their journey according to their preferences.

This flexibility also includes the ability to identify a frequent flyer or loyalty programme member and pass this information onto the airline in return for a personalised offer – whether this be a cheaper fare or free or discounted ancillaries.

Richer Content

Traditionally, travel agents rely on Global Distribution Systems (GDS) to access airline content. However, these systems often have limitations in terms of the breadth and accuracy of the information provided. NDC addresses this issue by offering richer, more detailed content directly from the airlines.

This means travel agents can access real-time data, including live flight availability, fares, and ancillary services, ensuring accurate and up-to-date information for their customers. Consequently, travellers can make more informed decisions, leading to improved satisfaction and reduced booking errors.

Increased Choice

NDC enables airlines to showcase their offerings and differentiated services more effectively. By providing access to their full range of products and ancillary services, airlines can differentiate themselves from competitors and highlight their unique value propositions.

This transparency gives travellers a broader choice, allowing them to explore and select the options that best align with their preferences and budget. Ultimately, NDC fosters healthy competition, driving airlines to innovate and deliver more compelling offers to attract customers.

In our latest Travel Talks webinar, Gray Dawes CCO Warren Dix, COO Dave Bishop and special client guest Leanne Wilby from Games Global look at the importance of NDC and getting great content in your corporate travel programme.

Personalised Offers

With NDC, airlines can leverage data and analytics to create personalized offers based on travellers’ preferences, travel history, and loyalty status.

This targeted approach enables airlines to offer relevant ancillary services, such as seat upgrades, additional baggage, or priority boarding, tailored to individual passengers. By receiving personalized offers at the right moment in the booking process, travellers can easily select preferred ancillaries to enhance their overall travel experience.

Seamless Integration

NDC offers a standardized, XML-based messaging protocol that facilitates seamless integration between airlines, travel management companies (TMCs) travel agents, and other travel service providers.

This interoperability ensures efficient communication and connectivity across the travel ecosystem. With NDC, airlines can directly distribute their content to various sales channels, including TMCs, online travel agencies (OTAs), metasearch engines, and corporate booking tools. This streamlined connectivity reduces distribution costs, limits intermediaries, and enables faster time-to-market for new products and services.

In Summary

The New Distribution Capability (NDC) represents a game-changer for the travel industry. Its benefits extend to all stakeholders involved, from airlines and TMCs to the ultimate beneficiaries: the travellers. NDC’s customer-centric approach, enriched content, personalization, increased transparency, and seamless connectivity are transforming the way travel is distributed and purchased.

By embracing NDC, the travel industry is embracing a future of enhanced customer experiences, greater choice, and increased efficiency. As NDC continues to evolve and gain wider adoption, its impact will undoubtedly shape the way TMCs do business.

As the adage goes, you need to walk before you can run. Before making any drastic changes, you need to assess your current technology infrastructure and identify areas for improvement.

Evaluate your online booking tools, your mobile apps, and any other technologies in your arsenal. Then ask yourself:

  • What does our technology do well?
  • What does our technology not do well?
  • What realistic ways can our technology be improved?

Identifying areas for improvement and sketching out solutions can be a daunting task. Fortunately, our team of tech specialists can help you figure everything out from start to finish – providing you with an in-depth analysis of your current technology infrastructure before recommending the tools best suited to your business travel programme.

#2

Train Your Employees

Your technology and employees should work together in perfect harmony. After all, how can you get the most out of the tools at your disposal if your own people don’t know how to use them properly?

You should always provide training and support to help employees use your technology to its fullest potential. This can include:

  • Online training sessions
  • Accessible customer support
  • Clear communication and feedback channels

Keeping your employees up to date with your technology comes with additional rewards. These newly trained users will bring fresh perspectives on the form and function of your tools – a potential treasure trove of new ideas on how to do things better.

#3

Think User-Friendly

Nobody wants to wade through lengthy menus or impenetrable walls of text. Providing your travellers and bookers with a technology that is simple to use and easy to navigate will immediately win people over.

Here are a few key things you should consider when assessing a user-friendly interface:

  • Make text short and easy-to-read with accessibility options.
  • Design content to minimize the number of clicks needed.
  • Ensure interfaces are responsive to fit different screen resolutions.
  • Try to avoid clashing colours.

It is worth considering how your staff will be using the travel tools you select. For example, if for the majority of time your travellers will be interacting with the technology while on the road via phones, then your user interface should be optimised for mobile formats, dynamically responsive to different screen sizes rather than only built for desktops.

#4

Dig into Data

Data is the silver bullet that can turn a good business travel programme into a great one. Your technology should have the capacity to collect all kinds of travel data that will not only inform your future decisions but will make the lives of your users easier. Here are a few things you can do if you integrate analytical tools into your tech suite:

  • Track and monitor the travel patterns of your travellers.
  • Collect spend data to identify ways to save on travel costs.
  • Analyse emissions to see how to reduce your carbon footprint.

Once you gather enough in-depth data, you can start making informed decisions about how you approach your business travel programme. These analytical insights can also help you to determine what people are looking for from their travel, allowing you to tailor your services to perfection.

#5

Invest in Customer Service

What if your technology goes wrong the moment someone needs it most? Even the most well-designed app or booking platform has the capacity to break from time to time.  You’re going to need a plan for when that happens. Here are a few steps you can implement to keep things moving while your technology needs fixing:

  • A 24/7 helpline that can provide users with alternative solutions.
  • An FAQ or error toolkit which users can follow.
  • A chat function that connects users to support staff.

At Gray Dawes, we know how important it is to be available to employees and clients at any time of day or night. In Summary

Maximising the opportunities presented to you by technology is essential. By assessing your tech infrastructure, providing training and support, ensuring user-friendly interfaces, utilising data, and building a robust customer service model, you will be well on the way to creating a successful business travel programme that’s supported by great technology. Most importantly, getting to know the tools that work for you can result in positive travel experiences for everyone involved.

Cyber Safety

what we're doing to keep your data secure from hackers
cyber security

With the ever-escalating security issues the world faces, particularly around increased global cyber-security threats, we want to reassure you that, no matter what the risks are, companies and their travellers are safe with Gray Dawes Travel.

Given the current climate, it’s understandable organisations of all sizes may be curious about what travel management companies are doing to mitigate the increased risk of a security breach. In short, here at Gray Dawes we’re all over it!

No matter what’s happening in the world, Gray Dawes has the backs of our client base!

While the NCSC (National Cyber Security Centre) has no specific intelligence relating to a cyber-attack on the UK, this could change quickly. We monitor multiple government websites for updates each day. We regularly maintain protocols to help protect our networks and clients from this type of attack and have increased our network security reviews during this unprecedented time.

Areas of security reviewed include firewall rules, network access, anti-virus definitions, and windows and software patches, which are recorded in a logged audit file. We have also been performing test restorations from our backup solution to ensure that in any possible situation, we can restore our data effectively. Most importantly, we are ensuring that all Gray Dawes employees understand the significance of cyber security and know how to identify and report suspected security events, especially during the current period of heightened threat.

As well as the increased security protocols we have in place to protect our IT infrastructure and your data, we’re doing just as much to protect your travellers. Of course, being a Gray Dawes Travel client, you’re already used to our around the clock support; travellers and bookers alike can contact a Gray Dawes Travel consultant 24/7 and 365 days per year. And our innovative suite of Traveller Security products have been designed specifically to meet your duty of care obligations while keeping your travellers safe.
